GENERAL GUIDELINES FOR PLANNING A TOWN OUTING

Pick an activity you enjoy, want to learn, or try, then:

Send the following information to our Outings Coordinator to be posted on Meetup and our Web Administrator to be posted on our website.   To encourage and support new leaders, TOWN will provide a Mentor to help with the process or help you lead the outing as “co-leader”.

Don’t be afraid to ask for help. Your mentor or any board member is ready to help you have a fun outing.

    1. What:  (Hiking, biking, camping, etc.  List detailed information about the activity: cost if any; level of experience needed; is equipment available to rent or borrow, option to share camp sites, etc.)
    2. Where:  Location of activity. Include link to destination for mapping purposes.
    3. When: Date/s of activity.  Include “booking window opening” for camping as well as the particular loop to aim for.  Send reminder day before “booking window” opens.
    4. Who: List who is invited, i.e., TOWN members only; friends and family; pets or not; children or not, etc.
    5. Contact:  Your name and contact information.  Also ask to RSVP’s directly to Meetup.

Additionally:

  1. Note what activities are available or planned for the outing.
  2. Consider skill levels; is special equipment or clothing needed?
  3. Note suggested items to bring, i.e. sun screen, hat, hiking boots, etc.
  4. As leader, please stay alert for the safety of yourself and the attendees.

The Day of the Outing:

  1. Answer any questions.
  2. Go over any safety requirements.
  3. Work out any other logistics, i.e. specific trailhead meetup for a hike, potluck details, day/place/time for any other specific activity, etc.
  4. Have all attendees sign our Liability Release Form (.pdf or .docx) before the start of any activities.  Protect yourself and the club!

After the Outing

  1. Other TOWNIES would love to hear about your outing.  Please prepare a brief trip write-up about all the fun you had, i.e., activities, lessons learned, etc.
  2. If you feel comfortable, send your write-up directly to the membership through Goolgegroups or ask for help from your mentor or co-leader.
  3. Any photos taken can be posted on the Meetup page for your activity.
